Conference Information

This information is for registered delegates for BAICE 2026. You can register for the conference until 19 August.

Conference dates and schedule

The conference will run from Thursday September 3^rd to Saturday September 5th. We will start at 9:30am on the Thursday and end at 3:30pm on the Saturday to make it easier for people who need to travel.

Conference site

The conference will be held at the James McCune Smith Learning Hub https://www.gla.ac.uk/myglasgow/jamesmccunesmith/ at the University of Glasgow.

Getting to the conference site

For participants who have booked the recommended accommodation at Cairncross House Residence, the James McCune Smith building is a 15 minute walk away. It is approximately a 10-15 minute drive from Glasgow city centre and around a 20-25 minute drive from the airport.

There is a direct bus from Glasgow Airport to the city centre (https://www.firstbus.co.uk/greater-glasgow/routes-and-maps/glasgow-airport-express) and a coach service from Edinburgh Airport to Glasgow city centre (Buchanan Bus Stop) that takes approximately an hour (https://www.citylink.co.uk/our-routes-and-timetables/glasgow-edinburgh-airport/).

To get around Glasgow by public transportation, the easiest option is the subway, which accepts contactless payments (£1.80 per ride or £3.40 automatic daily cap if you use the same credit card). The closest subway station to the conference building is Hillhead station. Subway trains run frequently, and the journey takes around 10 minutes from the city centre. From Hillhead station, the James McCune Smith building is a short  5-minute walk. Buses also run regularly to the University, but the bus system contains various companies with various pricing.

Please note that the subway is not accessible by wheelchair, while buses are. Taxis are a good accessible option.

Registration

Please sign in at the registration desk when you arrive to receive your conference bag and name badge. The registration desk will be on the ground floor of the James McCune Smith building. The registration desk will be open from 8:45am Thursday and Friday.

Posters and exhibitions

Posters and exhibitions will be displayed on the ground floor of the James McCune Smith building for the duration of the conference. This is adjacent to where registration and coffee breaks will be, so please feel free to browse the displays and talk to the authors and exhibitors.

WiFi and Technology

WiFi will be freely available at the conference venue via either the eduroam network or UofG visitor network. If you need assistance, volunteers at the registration desk can help. More information can be found here: https://www.gla.ac.uk/myglasgow/it/forvisitors/

All presentation rooms will have a desktop computer. If you are using PowerPoint slides, please bring the file on a USB stick or email it to yourself to access from the desktop computer. Laptops can be hooked up to the projector in the room, but this takes extra time and may cause technical problems for the presenters who come after you.

Live-streaming and photography

We will be live-streaming Professor Simon McGrath’s Presidential Address on Friday 4 September. This will be available on our website (live, and later archived), so please share the link with colleagues who are unable to attend.

While the focus of the filming will be the speakers, the audience may appear in some of the footage. If you do not wish to appear in the footage, there will be volunteers stationed at the doors who will be able to guide you to seating areas that will be out of shot.

We will have a conference photographer. If you would prefer not to appear in social media photographs of the conference, please let us know at the registration desk.

Food and refreshments

Lunch and coffee/tea (morning and afternoon) are included in the conference package. All of it will be served on the ground floor of the conference building.

Reception and gala dinner

There will be a drinks reception on Thursday September 3 at 6pm. This will be held at the Glasgow City Chambers, hosted by the Lord Provost and Glasgow City Council. Glasgow City Chambers is located in the city centre at 82 George Square, Glasgow G2 1DU. After the reception, participants may wish to explore the city centre, which offers a vibrant and diverse dining scene with a wide range of options for dinner. 

The gala dinner will be held on Friday September 4^th at Oran Mor, a former church converted into a restaurant, pub and nightclub. It is located 10 minutes by foot from the conference building. The dinner will be buffet-style. There is no seating plan, so you are free to choose your seats and companions to continue discussions into the evening!

After dinner, we will welcome a ceilidh band that will provide instructions for participating in this traditional Scottish dance (ceilidh). No previous experience is required! Everyone is welcome to join! We recommend comfortable shoes.

There is no formal dress code for the Gala Dinner. Please feel free to dress up if you wish, but everyone is welcome to all BAICE events in whatever they feel most comfortable in.

Both the drinks reception and gala dinner locations are within walking distance of the conference venue. However, we will be providing taxis for those who have mobility issues. There will be a sign-up sheet at the registration desk for this. Please ensure you have signed up by 12 noon on the day of each event.

Care Bursary

BAICE is committed to making our conference as accessible as possible. We have a small fund available to help offset out-of-pocket care-related expenses necessary for some delegates to participate fully. These expenses may include (but are not limited to) the travel and accommodation costs of a partner or relative who is accompanying a delegate to care for a very young child; the travel and accommodation costs of chaperones required for delegates to use public transport; additional childcare or dependent-care costs during the conference period.
